Payment, Cancellation & Refund Policy
This policy is part of the SAYDO Service Terms. The checkout page shows the specific product, final South African rand price, credits, number capacity and billing frequency before payment.
1. Trial and when payment details are requested
The individual Trial is free, lasts 14 days, includes 10 credits and does not require payment details. It ends when the time or credits are exhausted and does not renew. Business accounts are paid and do not have a free business Trial unless SAYDO expressly offers a separate written pilot.
2. Checkout and PayFast
PayFast hosts the payment form and handles card/payment credentials. SAYDO sends PayFast the customer's name and email, order identifier, amount, item description, recurring parameters and SAYDO return, cancellation and notification URLs. SAYDO does not receive or store the complete card number or CVV.
Before SAYDO reveals the signed PayFast submission, the customer must affirmatively accept the displayed payment disclosure and links to the applicable legal documents. SAYDO records an order snapshot, including product, amount, credits, plan capacity and legal-document versions, plus the acceptance time and protected hashes of the network address and browser identifier used for that acceptance. It does not store those raw values as checkout evidence. A browser return is not confirmation: SAYDO activates benefits only after it validates and reconciles PayFast's server notification. Notifications and provider payment identifiers are idempotent, so the same payment must not grant credits twice.
3. Monthly subscriptions
A paid plan is month-to-month. By continuing from subscription checkout, the customer authorises PayFast to charge the displayed recurring amount every month on approximately the corresponding calendar date, with no fixed end date, until cancelled. Each confirmed payment grants the displayed allowance for one month. Unused monthly credits expire when that paid period ends and do not roll over.
The dashboard identifies the current plan, next/end date and status available to SAYDO. PayFast may send pre-charge or payment communications where enabled. The customer must keep the PayFast payment method current.
4. Top-ups
Top-ups are one-time purchases available only while a paid subscription is active in its current paid period. They are used after monthly plan credits. Purchased top-up credits remain valid for three years from purchase or until fully used. A scheduled cancellation still permits top-ups through the already-paid period; new top-ups stop when that period ends. Cancellation does not shorten the validity of an existing top-up. Top-up credits are not an automatic subscription and do not themselves extend plan access.
5. Plan upgrades and downgrades
The dashboard shows whether a change is immediate or scheduled. Unless the confirmation expressly states otherwise, a plan change is scheduled for the next successful renewal so the current paid entitlement can finish. The new price, allowance and business-number capacity apply only after the applicable PayFast mandate update or new confirmed payment. SAYDO does not silently increase a recurring amount.
For a recurring plan change, SAYDO records the customer's displayed mandate acceptance and a one-year reaffirmation due date. That date is tracking-only: it does not itself renew a mandate, change a plan, record fresh acceptance or authorise a charge. Any future action that requires renewed authority must obtain it through the applicable customer and provider flow.
6. Cancellation and reactivation
Customers can cancel at any time in the dashboard without a cancellation fee. Cancellation stops future renewal and normally takes effect at the end of the current paid period. Access to retained dashboard data continues, subject to account and retention rules. Cancelling SAYDO and disputing a charge are separate actions; a chargeback alone might not cancel the PayFast mandate.
Before the paid period ends, a provider-supported reactivation may remove the scheduled cancellation. After expiry, reactivation may require a new checkout. SAYDO will not reactivate or charge a cancelled subscription without a valid provider-supported authorisation.
7. Failed, delayed or declined payments
A failed renewal does not grant a new monthly allowance. PayFast or SAYDO may make bounded, provider-supported recovery attempts, request a payment-method update or reconcile a delayed authenticated notification. Status can move through pending, past due, locked, cancelled or lapsed states. SAYDO must not manufacture a successful notification, submit an unsupported manual card charge or grant duplicate benefits.
If an authenticated notification is delayed, reconciliation may confirm the provider result later. While unresolved, the order remains pending or enters manual review. After any displayed grace period, paid WhatsApp processing can pause; the user may still sign in to view retained records, update the payment route, buy an eligible plan, cancel or request deletion.
8. Refund policy
Subject to non-excludable rights, a customer may request a full refund within seven days of the first paid purchase if none of that purchase's paid credits have been used. We also investigate and refund duplicate/incorrect charges and paid periods during which SAYDO could not provide the purchased service where appropriate. Used credits are non-refundable unless the law requires otherwise.
Email info@saydo.co.za with the account email, approximate date, amount and reason. Do not include card numbers or CVV. Approved refunds are submitted to the available provider route as soon as reasonably practicable; provider and bank processing time is outside SAYDO's control.
9. Chargebacks, fraud and disputes
Contact us first so we can investigate. SAYDO may preserve pseudonymised order, notification, signature/source validation, reconciliation, entitlement and usage evidence for fraud, accounting, tax or dispute purposes. A fraudulent chargeback or payment manipulation may lead to suspension. This does not restrict a lawful complaint to a bank, PayFast, consumer authority or court.
10. Prices, taxes and receipts
The amount displayed at checkout is the final customer price charged by SAYDO. We do not add an undisclosed charge after acceptance. SAYDO will label VAT and issue a VAT invoice only if Amax Digital (Pty) Ltd is a registered VAT vendor and legally entitled to do so. PayFast and SAYDO confirmations form the available electronic payment record; customers should retain them.
11. Contact
Use the account dashboard for available cancellation and payment-status controls. Send refund requests and any billing issue that the dashboard does not expose to info@saydo.co.za. Include the order reference shown by SAYDO where available, but never send payment-card credentials.
